Using Devices Safely and Securely

We provide work phones for staff to use for recording care. These devices stay on site at all times. You must keep your device clean, charged, and secure. Never share your login details with anyone. If you are using the device, you are responsible for what is recorded. Take care of the device and report any damage, loss, or technical problems immediately.

What Makes a Good Record

Good records are accurate, timely, clear, and relevant. Write about what you observed and did, not your opinions. Use the person's own words when recording what they said. Be factual and respectful. Record promptly while details are fresh. Include enough information so another staff member would understand what happened and what care was given. Never leave gaps or make assumptions.

Data Protection and Confidentiality

The information in our records is private and confidential. The Data Protection Act 2018 and GDPR give people rights over their personal information and place duties on us to keep it safe. Only access records when you need them for your work. Never discuss people's private information in public areas or with people who do not need to know. Reporting Problems and Getting Support

If you notice any problems with records, such as missing information, errors, or things that do not make sense, report them promptly to your manager. If you have technical problems with the digital system or your device, report these immediately so they can be fixed. If you are unsure how to record something or need help using the system, ask for support. We provide training and ongoing help to ensure everyone can keep good records.
