Get your in person sessions onto the same record as everything else

Your best training happens in a room, with a trainer, on real equipment. It also leaves no trace an inspector can follow. Face to face sessions recorded against the same staff record as the online modules.

Why it matters

Undocumented good training is indistinguishable from none

The session happened. The evidence that it happened is a signature on a sheet in a drawer.

In person, properly recorded

Date, trainer, content covered, who attended and what each person demonstrated, held as a record rather than a sheet.

One record, both kinds

Online and in person sit on the same staff record, so nobody has to reconcile a spreadsheet with a folder.

Competency, not just attendance

Attendance proves presence. The observation is what evidences that the person can do the thing.

How it works

What CareStream actually does here

Record the session, not just the register

  • Trainer named, content covered, date and duration
  • Attendance logged per person rather than as a headcount
  • Competency outcome recorded individually, including anyone to reassess
Screenshot slot Session record with attendees

It lands in the matrix

  • Completion appears beside the online modules for that subject
  • Renewal dates set from the session date
  • Gaps visible immediately, including who did not attend
Screenshot slot Matrix showing in person and online

Prepare the room time

  • Pre reading pushed to the staff hub before the session
  • The session spent on practice rather than on the theory
  • Scheduled against the rota so cover is planned, not improvised

Questions

Face to Face Training, answered

Recording

What does a session record hold?

Date, trainer, content covered, attendees and a competency outcome per person.

Can we record a session that already happened?

Yes, retrospectively, with the actual date.

What if someone attended but was not signed off?

That is recorded as attended without competency, which is the honest position and the one an inspector expects to see used.

Blended

Does this replace our online modules?

No. It puts the two on the same record so a subject can be part online and part in person without the evidence splitting.

What has to be face to face?

Anything requiring practical assessment, most obviously moving and handling and basic life support. Much of the rest is habit rather than requirement.

Can we assign pre reading before a session?

Yes, to the staff hub, so the room time is spent on practice.

Practicalities

Who can record a session?

Whoever delivered it, or an administrator on their behalf with the trainer named.

Does it handle external trainers?

Yes, the trainer is named whether internal or external.

How does this work with the rota?

Sessions are scheduled through the training calendar so cover is visible before you commit.

Guide

A guide to running and evidencing in person training

There is a persistent belief in care that everything is drifting online and that in person training is being squeezed out. In practice most services still deliver a great deal of it, deliver it well, and cannot prove it. This guide is about the proving.

What has to be in the room

Practical assessment has to be observed. You cannot evidence that someone can perform a hoist transfer safely from a multiple choice score, and no reasonable inspector would accept that you could.

Beyond the genuinely practical, the honest answer is that a lot of in person training is habit. That is not automatically wrong, discussion based sessions on safeguarding culture can be far better in a room than on a screen, but it should be a choice rather than a default.

What a record needs on it

A signing sheet is not a training record. It evidences presence and nothing else. The difference between a weak record and a strong one is entirely in the detail.

  • The date and duration of the session
  • The trainer, named, internal or external
  • What was actually covered, not just the subject title
  • Who attended, individually
  • What each person demonstrated, and who observed it
  • Anyone who attended but was not signed off, and why

Where CareStream fits

A face to face session is recorded with all of the above and lands in the training matrix beside the online modules for the same subject, with renewal dates set from the session date.

Pre reading can be pushed to the staff hub beforehand, which is the single easiest way to make an hour in a room worth more, and sessions are scheduled through the calendar so cover is planned rather than improvised on the day.
