What is tracked

What counts towards compliance?

Statutory training, observed competencies, policy read receipts and renewal dates, held together per person.

Can we define our own requirements?

A guide to tracking staff compliance in a care service

Compliant is a word used loosely enough that two people in the same service will mean different things by it. This guide unpicks what it actually contains, why the parts never agree with each other, and how to get to a position you can see rather than assemble.

One carer, four systems

Take one care assistant. Her statutory training sits in a spreadsheet. Her observed competencies are on paper in a supervision file. Her policy acknowledgements are in an email folder. Her DBS and right to work are in a personnel file in a locked cabinet.

Every one of those is maintained by a different person on a different rhythm. Nothing joins them. When you say she is compliant you are asserting agreement between four systems that have never been compared.

Completion is not competence

The second problem is that most tracking records completion, which is a date, and treats it as competence, which is an observation. They are different evidence and an inspector will ask for both.

A matrix full of green completions and no competency records is the single most common way a service that trains its people well fails to demonstrate it.

What a usable view contains

Build the view around exceptions rather than totals. A percentage that is always high tells a senior nothing and gets ignored within a fortnight.

  • What is overdue right now, and whose it is
  • What falls due in the next thirty days
  • Anyone with a completion but no competency observation
  • Anyone who has not read a policy that changed
  • A named owner for each outstanding item
